Objectives of this role:

  • Support the manager primarily and provide additional support to executive team members as directed.
  • Maintain and refine internal processes that support high-ranking executives across the company.
  • Coordinate internal and external resources to expedite workflows and ensure efficient operations.
  • Assist the sales and marketing team with various support duties.
  • Manage communication with employees by liaising with internal and external executives on projects and tasks.
  • Plan and prioritize work to meet managers’ goals, achieve organizational objectives, and uphold best practices.

Responsibilities:

  • Handle professional and personal scheduling for the deputy manager, including agendas, mail, email, phone calls, client management, and other logistics.
  • Organize travel arrangements and activities for executives, including accommodations and transportation.
  • Provide administrative and office support such as typing, dictation, creating spreadsheets, faxing, maintaining filing systems, and managing contacts database.
  • Maintain professionalism and strict confidentiality with all materials.
  • Coordinate team communications and plan both internal and off-site events.

Job Requirements:

Bachelor’s or Associate Degree in Business, Communication, Executive Assistant, Education, Marketing, Business Administration, or Management. Required skills and qualifications:

  • Excellent written and verbal communication skills.
  • Proficiency in MS Word, Excel, Outlook, and Adobe Acrobat.
  • Ability to work independently, handle multiple tasks in a fast-paced environment, and prioritize with a sense of urgency.
  • Attention to detail, excellent planning, and organization skills.
  • Flexibility to adapt to changes and challenges as a team player.
  • Ability to maintain confidentiality of company and employee information.
  • Preferred experience in developing internal processes and filing systems.
  • Strong time-management, reporting, and presentation skills.
